The Ministry of Science and Technology decided that they needed to have a document and mail tracking system so that they could review the trails of documents being generated by the personnel there, in addition to see where bottlenecks were being formed in the system. Trisoft developed DocWerx to automate the Diary System, using Visual Basic Application, Microsoft Office and SQL Server technologies.
Efforts were put in to make it compliant with the Pakistan Government's Official Secretariat Instructions. Letters/documents are received in the Receipts and Issuance (R & I) branch and then dispatched to the person to whom the letter is addressed. Before dispatching the mail attendant makes an entry for the document in DocWerx, and automatically assigns the current Diary Number to it. The document now has an entry in the database. The personnel in the R & I department create a dispatch of this document to the concerned officer. The mail attendant enters the dispatch information for the above-mentioned document, and then physically sends the document to the recipient officer. Once the recipient officer receives the document, he/she or his PA is supposed to confirm receipt by viewing the dispatch for the document. Once he/she confirms receipt in the DocWerx, the sender is automatically notified that the document has been received.
